For cleaning companies with teams in other people’s spaces

Nobody notices a clean office. They notice the one thing you missed.

Your teams work in other people’s homes and offices, often when nobody is there. After each clean RateMate asks the customer how it went on WhatsApp, so the thing that got missed reaches you before the contract does.

No app to download. No WhatsApp Business account needed. You stay in control of every send.

A cleaner finishing up in a home or office, handing the keys or the alarm remote back to the customer at the door. Real space, natural light, unposed.

Sound familiar?

Three things that happen in rooms you are not in.

Clean work is invisible. The only thing a customer ever notices is the part that was missed, and they mention it to their office manager, not to you.

The kitchen bins were not emptied on Tuesday. Nobody phones, they just note it.

One team starts leaving twenty minutes early and the standard drops room by room.

It all comes out at renewal, on a list you have never seen.

Work that comes back

Nobody cancels in anger. They just stop booking.

A cleaning contract is not lost on the day something goes wrong. It is lost over a quarter of small misses nobody bothered to phone about.

Because the same customer rates every visit, you are not reading one score. You are watching a line move.

How it works

It all happens in WhatsApp.

Not just for your customers. You run the whole thing from the same chat you are in all day. Send the ask when the team signs off a site, tag the team lead, and see the day’s scores without driving anywhere.

Text the menu
One word gets you your options: ask for feedback, see your latest ratings, check who needs a call back.
Forward the customer
Share their contact card straight from your phone, or type the number. Tag who did the job, tap Send Request, and it goes out in your business name.
Ask any time
Open alerts, latest responses, what is left on your plan. All of it comes back in the chat, and asking costs you nothing.
RateMate

You trigger every send, and every rated customer sees the same review invite.

The owner on the phone beside the vehicle, stacked caddies and a vacuum in the back. Mid-conversation, unposed.

The save

A five-minute call instead of a lost contract.

A low score reaches your phone with the customer’s number and the team that was on site, while it is still this week’s problem. You call, you send someone back, and the contract you would have lost at renewal stays yours.

Who did the job

You cannot inspect every room. Your customer already did.

Tag the team lead on each clean and every rating lands against the right team. After a month you can see which site is holding the standard and which one is quietly costing you a contract.

A low score names the person who did the job, so the call you make is the right one. Your staff never see a league table: each person gets a private link to their own numbers, no rankings, no colleagues’ names.

Honest limit: a walk-in QR rating counts for the business, not a person. The scores that carry a name are the requests you send.

Every way a customer can answer

WhatsApp first. SMS and QR for everyone else.

WhatsApp
The way South Africa already talks. One tap in the chat they already have.
SMS
No smartphone needed. The same one tap ask reaches office managers and older domestic clients.
QR code and link
One free QR code for the sign-in sheet or the service card you leave behind. Print it once, reuse it anywhere.

FAQ

What cleaning company owners ask us first.

We clean after hours. Nobody is there to rate us.

Then the ask goes out in the morning, when they walk in and see the work. You choose the timing, and the morning after is the honest moment anyway.

Our client is the office manager, not the people who work there.

Send it to whoever signs the contract off. If you want the ground truth as well, add the person who opens up in the morning. You decide which number goes on each request.

A team of four cleans one site. Who gets the score?

Tag the team lead and the rating lands against them, which is who you would talk to anyway. Honest limit: a walk-in QR rating counts for the business, not a person.

Will my cleaners feel policed?

They never see a league table. Each person gets a private link to their own numbers, no rankings and no colleagues’ names. Plenty of owners end up using it the other way, to defend a team a client complained about unfairly.

What about bad reviews?

You hear about problems privately first, with a name and a number attached, in time to sort them out. Compare that to an anonymous Google review where you often cannot even tell which job it was. And to be clear about the other side: every rated customer gets the same Google review invite. RateMate never gates reviews by score.

Is this legal under POPIA?

Yes. Consent records, instant opt-outs and an audit trail are built in. POPIA without the paperwork.
